Privacy notice

Compliance with data protection regulations and thus the protection of your personal data is a priority for the German Machine Tool Builders’ Association (VDW e.V.).

With this data protection declaration, we provide you with an overview of which personal data is processed for which purposes and on which legal basis in the context of participation in the web sessions or virtual events. In addition, we inform you about your rights vis-à-vis the VDW in its function as responsible party.

1. Who are we? Who is responsible for data protection, the so-called controller, at our company?

2. Purpose of data processing and categories of personal data

2.1 Registration and participation in web sessions or virtual events

In order to be able to take part in the web sessions or virtual events and to be able to carry them out, a prior registration on our website is required. We process this data solely to enable you to participate in the Web Session, to confirm your registration and log in to the Web Session, to provide you with further information about the Web Session in which you wish to participate and to carry out the relevant processing Communication. In addition, your data will be processed by the speaker of the respective web session or virtual event, who will need the data of the participants in order to prepare the web session or virtual event.

The legal basis for the processing of your personal data in the context of registration and participation in the web session or virtual event is Art. 6, paragraph 1 s. 1 lit. b GDPR. If personal data are provided by you voluntarily, the processing of these data is based on the legal basis of Art. 6 para. 1 s. 1 lit. a GDPR.

Where we process sensitive data within the meaning of the Indian Data Protection Act (e.g. passwords) as part of the registration process, such processing is based on your consent in accordance with Article 6 paragraph 1 s. 1 lit. a GDPR. Your consent can be revoked at any time with effect for the future by deleting your account.

2.2 Storage of your data for upcoming web sessions

(Within the scope of registration, you can agree to the further storage of your registration data for the purpose of participating in upcoming web sessions or virtual events. We would like to speed up the registration process for web sessions or virtual events for you and thus make it easier for you to participate in upcoming web sessions or virtual events.

The legal basis for the processing of your data is art. 6 par. 1 s. 1 lit. a GDPR.

Your consent is voluntary and can be revoked at any time with effect for the future. Please contact us at the following address if you no longer wish your registration data to be stored: privacy@vdw.de.

2.3 Advertising communication

In addition, you can agree to the advertising contact of us, the organiser of the web session (or virtual event) commissioned by us or the respective speaker of the web session (or virtual event) in the course of registration. The advertising contact will be made via the contact channels that you provided us with when you registered (e.g. by e-mail, telephone). In terms of content, the promotional contact includes any statement made by the speakers through the companies, which is aimed at promoting the sale of goods or the provision of services presented in the web session. This includes, but is not limited to, invitations, customer satisfaction surveys and offers for specific events and products.

The legal basis for the processing of your data is art. 6, paragraph 1 s. 1 lit. a GDPR.

Your consent is voluntary and can be revoked free of charge at any time with effect for the future. Please send your revocation to the following address: privacy@vdw.de.

3. Categories of personal data

We process the personal data provided by you during registration for the above-mentioned purposes. This includes in any case the following data:

  • First name last name
  • Country
  • Company
  • E-mail address
  • Password

Furthermore, you can voluntarily provide us with the following personal data:

  • Function in the company
  • Phone number

4. Storage duration

We delete your personal data provided during registration for the web session or virtual event, in principle six years after participation in the first web session or virtual event, unless there are legal retention periods that prevent the deletion of your data.

If you consent to the storage of your personal data for the purpose of participating in upcoming web sessions or virtual events during the registration process, we will store your data beyond the above-mentioned storage period until the time of revocation of your consent.

If we process your personal data for advertising purposes based on your consent, your data will be deleted immediately after your consent is revoked.

5. Transfer of your data and data transfer outside the EU / EEA

For the purpose of attending and conducting the web session or virtual event, we will transmit your personal data in encrypted form to our dedicated web session or virtual event organizer and the respective web session or virtual event speaker. Organizers of the web-sessions or virtual events are in the contract of assignment.

We will transfer your data to external service providers so that you can participate in our web sessions or virtual events, provide IT support and the performance of web sessions or virtual events (in particular for the documentation of the web sessions or virtual events) and (if) you have agreed) so that we can contact you for advertising purposes.

In addition, external service providers, in particular IT and e-mail service providers based outside the EU / EEA (so-called third countries) may also be involved. Before transferring personal data to a third country, we ensure that these service providers treat your personal data with the care required in the EU / EEA. Accordingly, we only transfer personal data to third countries in which the EU Commission has confirmed an adequate level of data protection or in which we ensure the careful handling of personal data by means of contractual agreements or other suitable guarantees.

6. Your rights

You have the following rights vis-à-vis the VDW with regard to personal data concerning you:

  • Right of access – Art. 15 GDPR

In principle, you have the right to request information on the information listed in Art. 15 GDPR. You also have the right to obtain a copy of your personal data in accordance with Art. 15, para. 3 GDPR.

  • Right of correction or deletion – Art. 16 and 17 GDPR

You have the right to have incorrect personal data corrected. You also have the right to request that your personal data be deleted if further processing is no longer necessary, if the processing is unlawful or if you have withdrawn your consent.

  • Right to limit processing – Art. 18 GDPR

If the conditions in Art. If the GDPR are complied with, you have the right to restrict the processing of your personal data, i.e. to prevent further processing for the time being.

  • Right of objection – Article 21 GDPR

If the processing of your personal data is based on art. 6 par. 1 s. 1 lit. e or f GDPR, you have the right to object to the processing if the further requirements of Art. 21 GDPR are met.

  • Right to data transferability – Art. 20 GDPR

Under Art. 20 GDPR, you have the right to receive your personal data in a machine-readable format in order to forward it or transfer it to another controller.

To exercise these rights, please contact our data protection officer.

The exercise of your rights is basically free of charge for you.

Upon request, we will provide you with a list of the technical and organisational measures taken to protect your personal data. Please contact us for further information.

Furthermore, you are entitled to lodge a complaint with a competent supervisory authority regarding the processing of your personal data by VDW.
